Information collected automatically
When you visit our website, we use Cloudflare Web Analytics to understand how the site is used. It measures things such as pages viewed, referring pages, browser type, operating system, country and page performance. Our website platform, HighLevel, also sets a cookie named msgsndr_id on this site, which HighLevel describes as a performance cookie. We use this information to understand how the website is used and to improve it.
How we use personal information
- To respond to your consultation request or assessment submission, and to schedule, confirm, remind you about and prepare for your consultation.
- To understand your business and growth goals and to assess whether and how we can help.
- To manage your inquiry in our customer relationship management (CRM) system, including by creating a contact record and notifying our team.
- To send follow-up emails after you complete the assessment, including a reminder to book a consultation if you have not yet booked one.
- To send marketing emails and text messages, but only if you have chosen to receive them (see "Communications and your choices" below).
- To operate, secure and improve our website and services.
- To meet our legal obligations and to protect our rights.
Consent
We collect, use and share personal information with your consent, which may be express or implied depending on the circumstances, or as otherwise permitted or required by law. When you submit our forms, we explain how the information will be used. You can withdraw your consent at any time, subject to legal and contractual restrictions, by contacting us at [email protected]. Withdrawing consent may limit our ability to respond to your request.
Communications and your choices
Messages about your consultation
When you submit the consultation request form, we use your details to respond to you and may contact you by phone, email or text message about scheduling and preparing for your consultation. These messages relate to your request and are not marketing messages. Message and data rates may apply to texts, and you can reply STOP to opt out of texts.
We do not currently record phone calls. If that ever changes, we will tell you at the start of the call and update this policy.
Optional marketing messages
Our consultation form includes an optional checkbox to receive marketing and promotional emails and text messages from DR Growth Advisory Inc., such as growth tips, offers and updates. Checking it is not required to book a consultation. If you opt in, message frequency may vary and message and data rates may apply. You can unsubscribe from emails at any time using the link in the message, reply STOP to opt out of texts, or contact us at [email protected].
Assessment follow-up
If you complete the Growth & Automation Assessment, we may email you a follow-up and a reminder about your request. You can ask us to stop at any time by emailing [email protected].
Who we share information with
We share personal information with the service providers that help us run our website and business, and in the limited situations below. Each provider handles information under its own terms and privacy practices.
- Third-party AI model providers used through HighLevel, which process chat messages so that Zoey can respond.
- HighLevel (GoHighLevel and its LeadConnector services), which provides our website hosting, forms, assessment, CRM, scheduling, email and text messaging, and workflow automation.
- Google Workspace, which we use for business email and related office tools.
- Cloudflare, which provides the website analytics described above.
- Courts, regulators and other authorities, where we are required or permitted by law to disclose information, or where it is needed to protect rights and safety.
Where your information is processed
Some of our service providers are located in, or use infrastructure in, the United States or other countries outside Canada. As a result, your personal information may be transferred to, stored in or accessed from other countries, where it may be subject to the laws of those places, including laws that allow courts, law enforcement and government authorities to access it.
How long we keep information
We keep personal information only for as long as we reasonably need it for the purposes described in this policy, to meet legal, tax, accounting and reporting requirements, or to resolve disputes. When we no longer need it, we will delete it or de-identify it in line with applicable law.
How we protect information
We use reasonable administrative and technical safeguards that are appropriate to the sensitivity of the information, and we rely on the security measures of our service providers. No website, email or storage system is completely secure, so we cannot guarantee absolute security. Please avoid sending sensitive information, such as financial account numbers or government identifiers, through our forms or by email.
Cookies and similar technologies
Our website uses a small number of cookies and similar technologies, as described above. The consultation form, the assessment and the booking calendar open on pages hosted by HighLevel, which may use their own cookies and are subject to HighLevel's privacy practices. Most browsers let you block or delete cookies in their settings, though doing so may affect how parts of the site work. We will update this policy if we add other analytics, advertising or tracking tools.
Our AI website assistant (Zoey)
Our website includes an AI assistant named Zoey. Zoey is an automated assistant, not a person. It can answer questions about DR Growth Advisory and help you book a complimentary Growth Strategy Consultation. Our team may review conversations.
What we collect through chat
We collect the messages you send and any details you choose to share, such as your name, email, phone number, business name, website, industry and growth challenge. If you book, we also collect the appointment details. Please do not share sensitive information in chat, such as financial account numbers, government ID numbers or health information.
How we use chat information
We use it to respond to you, arrange and manage appointments, follow up on your enquiry, keep our services secure and improve our responses. We do not send marketing messages unless you separately agree to receive them.
Booking an appointment through chat
When you ask to book a consultation, Zoey collects the details needed to arrange it and offers available times. When you choose an available time, Zoey may book it directly in our calendar. We use those details to schedule the appointment and send confirmations and reminders about it. We do not subscribe you to marketing messages through chat. If you prefer not to book through chat, you can use our Consultation Qualification Form or email us instead.
Where chat information is stored and who processes it
Chat records are stored in our customer management platform, HighLevel, which uses cloud hosting providers with servers in the United States. Your messages are also processed by third-party AI model providers, which HighLevel lists as processing data in the United States, so Zoey can respond. This means your information may be stored and processed outside Canada, including in the United States, where it may be subject to local laws. We cannot choose or guarantee a specific location.
How long we keep chat records
We keep chat records only as long as reasonably necessary. At least once every 12 months, we manually review chat records of people who did not become clients and have been inactive, and delete what is no longer reasonably needed. We may keep records longer for an open inquiry or scheduled consultation, for legal, tax or accounting purposes, or to handle disputes. Chats are not deleted automatically on a fixed schedule.
Your choices
You can ask to access, correct or delete information you shared with Zoey by emailing [email protected]. We will respond as required by law.
Your rights and requests
Subject to applicable law, you may ask us to tell you what personal information we hold about you and how we use it, to correct information that is inaccurate or incomplete, or to delete it or stop using it for particular purposes, such as marketing. To make a request, email [email protected]. We may need to verify your identity before we act, and we will respond within the time required by applicable law. In some cases the law allows or requires us to limit or refuse a request, and if that happens we will explain why.
If you live in the United States, your state may give you additional privacy rights. Contact us and we will review your request under the laws that apply to us.
If you are not satisfied with how we have handled your information, please contact us first so that we can try to resolve it. You may also contact the Office of the Privacy Commissioner of Canada at priv.gc.ca.
Children
Our website and services are intended for businesses and are not directed at children. We do not knowingly collect personal information from children. If you believe a child has given us personal information, contact us and we will take appropriate steps to delete it.
Changes to this policy
We may update this policy from time to time. The date at the top shows when it was last changed. If we make material changes, we will take reasonable steps to let you know, for example by posting a notice on this website.
